Hi Everyone,We are sending you this email to explain a little about the AGM and to ask for your help.The AGM on the 6th of April is when the current committee will sum up what has happened in the last 12 months, and what we envisage for the future.As you know, we run the market (although it is delivered by Hackney Council), but we are also consulting on a Neighbourhood Plan and have recently put the finishing touches to the first edition of the Chatsworth Road Guide. We anticipate that the Neighbourhood Plan consultation will gives us a great lead into what the community wants, and on what projects we should be focussing our time and energy.The AGM is also where we elect new committee members, and we’re looking for people to volunteer to join the committee to help run the organisation.Currently there are maybe 3 or 4 people that do most of the work, spending many hours unpaid behind the scenes to make things happen. Of those 3 or 4, our secretary Diane has been burdened the most, so our enormous gratitude goes out to her; without her efforts there would simply be no market. This situation however is clearly neither desirable nor sustainable, so we have looked at what the organisation needs, and come up with revised roles including, crucially, how much time is needed to fulfil them. If you have a few hours a week to spare and would like to help shape your community, please read through the roles detailed below. Reflect on how best you feel you can help, and should you wish to join the committee drop us a line 24 hours in advance of the AGM (eg Tuesday 5 April) at info@chatsworthroade5.co.uk, letting us know in which role you are interested.If we get more people interested than there are places, or we have more than one person wanting to do a specific role, then we will have a secret ballot at the AGM. This will, we hope, be friendly and relatively informal. All candidates will have a chance to briefly state their case as to why they think they are appropriate for the role.Lastly, at this AGM we will be introducing a nominal annual membership fee of £1 for residents, £5 for market traders and £50 for business owners or commercial landowners. Whilst membership of CRTRA is completely voluntary, we hope you feel that what CRTRA does is worth paying for in some small measure. Please see below for more specific benefits. The monies raised will go towards the running costs of the organisation, which we will detail at the AGM. Trader – business or market Role DescriptionsChair: · Shall be the chief presiding officer and chairperson for the Executive Committee, Committee and General meetings with a casting vote in any tie of votes only· Shall lead the CRTRA in all communication and business with external organisations and individuals· Shall provide leadership and motivation· Shall be one of two people (minimum) to attend all meetings with Hackney Council· Shall organise the distribution to traders of all CRTRA written communications· Shall act as sign off point for any communication with external organisations, media and for marketing material outside every day activity (eg. Guide)Meeting commitment: one evening meeting approx. once per month for two hrsMeetings with Hackney Council approx. once per month, timing agreed in line with each meeting Vice Chair: · Shall be the Chair’s alternate in his/her absence· Shall be one of two people (minimum) to attend all meetings with Hackney Council· Shall enforce the Constitution· Shall lead the evaluation of any grievance, be they grievance by an individual trader or all traders· Shall be the main contact for stall hire arrangements with the supplier (for market only)Meeting commitment: one evening meeting approx. once per month for two hoursMeetings with Hackney Council approx. once per month, timing agreed in line with each meeting Secretary· Shall be responsible for organising meetings, conferences etc including preparing agendas, finding a venue and checking diaries· Shall be responsible for maintaining all meeting records and minutes (which are posted to CRTRA website) and chasing up actions amongst the committee· Shall be one of two people (minimum) to attend all meetings with Hackney Council· Shall support the chair and vice chair in responding to email requests and trading queries· Shall be available (now and again) to support the committee in manning a stall at the market· Shall be responsible (via volunteers) for getting posters and neighbourhood information outMeeting commitment: one evening meeting approx. once per month for two hrsMeetings with Hackney Council approx. once per month, timing agreed in line with each meeting30 mins to 1 hr per week on email / other activities Treasurer· Shall be responsible for maintaining all budgetary records· Shall be responsible for maintaining the bank account and be a designated signatory· Shall be responsible for the publication of annual CRTRA statement of accounts· Shall be responsible for market day costs and payment of all associated fees· Shall act as sign off for any spend against the CRTRA bank accountTime commitment: 2 hours per week Misc tasksFacebook, Twitter and website updates on CRTRA activity – Simon doesn’t want to be one of the committee but does want to carry on with work he doesShall be the main contact for stall hire arrangements with the supplier (for market only)Shall organise the distribution to traders of all CRTRA written communicationsShall act as sign off point for any communication with external organisations, media and for marketing material outside every day activity (eg. CRTRA reserve the right to reject any application for membership without giving a reason for refusal.The membership year will run April to April on each given year. Businesses: £50/year You will benefit from the continued running of the CRTRA as a civic body aimed at safeguarding and improving Chatsworth Road and its surrounding area.You will be invited to our AGM and entitled to vote for our Committee members (AGMs are open to the public but you are only entitled to vote if you are a member).You will receive a monthly email keeping you up to date with CRTRA activities, new developments and issues affecting Chatsworth Road and its surrounding area.You will be featured, with an enhanced entry (photo and profile) in the Chatsworth Road Guide – a bi-annual Guide to the businesses and amenities in the areaYou will be eligible for taking part in the Chatsworth Road Loyalty Card scheme (rolling out 2011)You will be featured as a supporting business on the CRTRA website.You will gain access to our database of businesses, property owners, rental tone, business rates, planning applications and more.You may suggest causes/projects that the CRTRA should pursue on behalf of residents and traders.After six months of membership you may stand to be elected as a committee member when a vacancy arises Residents: £1/yearYou will benefit from the continued running of the CRTRA as a civic body aimed at safeguarding and improving Chatsworth Road and its surrounding area.You will be invited to our AGM and entitled to vote for our Committee members (AGMs are open to the public but you are only entitled to vote if you are a member).You will receive a monthly email keeping you up to date with what the CRTRA have been doing and any relevant news to Chatsworth Road and its surrounding area.CRTRA will, where possible, assist you and neighbours with communications with Hackney Council.You may suggest causes/projects that the CRTRA should lobby and/or undertake.
